The Academy of Surgical Research (ASR) is committed to providing a safe, welcoming, and harassment-free environment for all participants attending in-person and virtual programs and meetings regardless of race, color, religion, gender, age, national origin, disability, sexual orientation, or gender identity. Participants include, but are not limited to, ASR members, attendees, speakers, volunteers, guests, sponsors, ASR staff, and service providers. This Code of Conduct outlines our expectations for behavior to ensure a positive experience for everyone.

1. Purpose

The ASR Annual Meeting is a platform for professional development, networking, and the exchange of knowledge. This Code of Conduct reflects our commitment to creating a harassment-free, respectful, and collaborative environment.

2. Scope

This Code of Conduct applies to all participants in the Annual Meeting, including:

• Sessions

• Wet Labs/Dry Labs

• Testing

• Networking events

• Online and offline communications associated with the event

It also applies to interactions on social media and other platforms related to the meeting.

3. Expected Behavior

All participants are expected to:

• Be respectful: Treat everyone with courtesy and professionalism, regardless of race, ethnicity, nationality, gender, gender identity, sexual orientation, disability, age, or religion.

• Promote inclusion: Foster an environment that encourages diversity of thought, ideas, and participation.

• Engage constructively: Focus on contributing to a positive and productive experience by engaging in open, honest, and respectful dialogue.

• Follow instructions: Comply with the rules, regulations, and guidelines set forth by ASR staff and venue management.

4. Unacceptable Behavior

The following behaviors are strictly prohibited:

• Harassment: Including but not limited to offensive verbal comments, intimidation, stalking, inappropriate physical contact, unwelcome sexual attention, or discriminatory remarks.

• Disruption: Any activity that interferes with the flow of presentations, workshops, or events.

• Abusive language or imagery: Whether in person or via social media.

• Property damage: Destruction, theft, dismantlement, defacement, abuse or intentional misuse of ASR or ASR-contracted venues, property, equipment, signage or supplies

• Illegal activities: Such as theft, vandalism, or possession of prohibited substances.

5. Reporting Procedures

If you witness or experience any violation of this Code of Conduct:

1. Notify a ASR staff member or volunteer on-site.

2. Alternatively, email the ASR Executive Director at csiebert@associationsolutionsinc.com.

All reports will be handled promptly, confidentially, and with sensitivity.

6. Consequences of Unacceptable Behavior

Unacceptable behavior will not be tolerated. Depending on the severity of the violation, actions may include:

• Warning the offender

• Removal from the meeting without refund

• Reporting to law enforcement if necessary

• Prohibition from future ASR events

7. Acknowledgment

By participating in the ASR Annual Meeting, you agree to comply with this Code of Conduct. Failure to adhere to these guidelines may result in appropriate corrective action.
